Work instructions & documentation

Monthly service

Inspect the property and restore its marketable condition. Complete cleaning even when the property appears clean. For a future assignment, perform the visit on the agreed due date or within the two preceding days; this sample has no scheduled date.

Interior cleaning

Thoroughly clean all horizontal surfaces, ceiling fan blades, counters, cupboards, window sills, baseboards, door frames, and wall registers. Remove sticky residue. Clean sinks, tubs, toilets, and fixtures. Vacuum carpets and mop hard floors. Remove debris and cobwebs inside and outside.

Consumables and equipment

Replace air fresheners every 30 days and mark their installation date. Test smoke and carbon monoxide detectors and replace batteries as needed. Replace missing light bulbs and burnt-out bulbs where electricity is available.

Condition and safety inspection

Document all four exterior sides, doors, windows, broken or boarded openings, interior rooms, floors, stairs, railings, utilities, and accessible outbuildings. Report occupancy, access issues, personal property, water intrusion, discoloration, environmental concerns, damaged fixtures, and other unusual conditions. Do not remove personal belongings or undertake extra repairs without assignment-specific authorization.

Conditional repair review

Identify securing, broken glass, electrical covers, exposed lines, loose fixtures, damaged stairs or rails, floor openings, trip hazards, loose cabinets, dryer vents, yard holes, and pool security concerns. Report needed repairs for approval. Qualified personnel must handle electrical, gas, plumbing, and other regulated work. Do not treat historical spending allowances as current authorization.

Exterior maintenance

Report overgrown grass or weeds, unedged hard surfaces and building perimeters, shrubs obstructing mechanical equipment or pools, accumulated leaves, and unwanted vegetation. Provide separate estimates for maintenance outside the authorized cleaning scope.

Water and emergency conditions

Report active roof leaks, standing water and its source, sump-pump operation and missing well covers, and basement moisture. Photograph damage and measurements; obtain direction before emergency repairs or equipment installation. Document stagnant artificial water sources where preventative treatment may be needed.

Photo documentation

Provide before, during, and after photos of sweeping, vacuuming, mopping, and wiping surfaces, plus before/after photos of all other completed tasks. Show cleaning in progress, debris collected, all rooms from opposite angles, exterior conditions, and installed materials. Record detector checks and dated air fresheners. Keep property identifiers and access information in the authorized private job record.

Completion package

Submit a completed, signed, and dated cleaning and safety checklist, condition report, supporting photos, unresolved issues, and line-item invoice for a future authorized assignment. Notify the assigning office when work is complete.
